College club sports and student organization travel: budgets, room blocks and buses

Updated October 2026

Student organizations often plan trips with a fixed allocation from student government and a deadline for paperwork. The plan has to be cheap, safe and easy to approve.

Start with what your school requires

Most universities have a student travel office or policy. Before booking anything, find out:

Get the budget approved with one sheet

Approvers want to see the total, the cost per student and what each line covers. Break it into lodging, transportation, meals and registration fees. GroupVoy's expense estimate exports exactly this as a spreadsheet you can attach to a funding request.

Use a room block for 10 or more rooms

A room block holds a set number of rooms at one negotiated rate. Students then pay or are assigned rooms inside the block. Read the contract for the cutoff date and the attrition clause, which says how many rooms you can release without paying. Our room block guide covers the details.

Moving the group

For a conference or tournament a few hours away, a charter bus usually beats flying and is easier to supervise. For longer trips, compare group airfare against a mix of flights and airport shuttles. Price per student, door to door, is the number that matters.

Keep everyone informed

Share one itinerary with meeting times, hotel address, the advisor's phone number and the return plan. Students read group chats, so send it where they already are.
